Manage checks with Check approvals

Request, approve, and print checks securely with Passare's Check approvals feature.

Overview

With Check approvals, admins and accountants can require checks to be approved if they are over a certain dollar amount.

Generally, the process looks like this:

  1. A check is created or requested by a director/staff
  2. An admin/accountant is notified and approves the check
  3. The director/staff is notified, and the check is ready to print

 

Settings

Enable feature

To turn on Check approvals, click the Settings icon.

Then go to Financials > Checks > Check Approvals.

Toggle the feature On and set a minimum Check amount needed for approval.

For example: if the Check amount is set to $500.00, you will only need to approve checks greater than $500.

To require approval on all checks, set the Check amount to $0.00.

Save the page.

 

Permissions

Next, you will give certain roles access to approve" a check.

In Admin Settings, go to Organization > Roles and select a role.

In the System column, check on the option for Approve checks.

Next, open the This role can dropdown in the top-right.

Verify that View all checks is selected. This allows the user to manage all checks organization-wide.

Without this permission, users can only view checks they have created.

 

Notifications

Finally, you will set up check approvers to receive notifications.

On Financials > Checks page, click into a Checkbook.

Admin > Financials > Checks > Checkbooks

 

Under Check notification, type and select each check approver to add them to the list.

These users will be notified when a check from this Checkbook is requested or needs approval.

Save this page and repeat for all Checkbooks.

We recommend that all users in this field have the Approve checks permission since they will be notified of checks needing approval.

 

Request checks for approval

Once a check is initiated, Passare will show a new check status, like Needs approval.

Learn more about available check statuses.

 

Then, a notification will be sent to anyone listed in the previously mentioned Check notification field.

Select the notification to be directed to the Checks page.

 

Approve checks

On Financials > Checks, the approver will see checks listed on the left.

If you navigated here from the notification, the check requesting approval is already checked.

 

Select the check(s) needing approval and click Approve.

After the check is approved, the initial requestor will receive a notification.

Bulk approve checks

To approve multiple checks, use the filter function.

Click the orange Filter button. Under Check Status, select Needs approval, then click Apply.

Multi-select the filtered list of checks and click Approve.
