Passare’s Batch Payments feature allows you to add multiple transactions at one time as a ‘batch’, rather than adding transactions case-by-case; which can be time consuming if/when you have multiple transactions to add at one time.
You can add transactions (check, credit card, cash, e-pay) or insurance assignment transactions to any case from within a batch.
Use Case Scenario
A funeral home applies all payments towards their cases at the end of the day, prior to making their daily bank deposit. Today, they received a total of 10 payments. Instead of going to all 10 cases individually and making a payment within each case, they use the Batch Payment feature so they can apply all 10 payments from one transaction screen.
You can add a transaction to an existing pending insurance assignment from a case as long as:
- The insurance assignment has not been exported through an accounting export
- The insurance assignment is pending which is determined by the following:
- The insurance assignment does not have a date in the ‘Funds Received On’ field
You can only add transactions to pre-existing pending insurance assignments or new insurance assignments through a batch.
You cannot create pending insurance assignments through a batch.
Transactions are editable in a batch until the batch is processed. Once the batch is processed, transactions within the batch are only editable on the case’s Payments & Adjustments page.
Automatic Add to Accounting
Automatic Add to Accounting does not affect Batch Payments. Transactions in a batch are not automatically sent to accounting. Once the batch is processed, the transactions are sent to accounting.
Add to Accounting Export
When a batch is processed, all transactions are immediately sent to accounting and will be included in the next accounting export. Processed batches only appear on batch accounting exports and not general accounting exports.
If a transaction is added to a batch for a case that is already sent to accounting, that transaction isn’t sent to accounting until the batch is processed.
Unprocessed Batch Report
Before a batch is processed, you are able to download an ‘Un-Deposited Report’ which will display all the transactions and transaction details that are a part of that specific Unprocessed Batch.
Processed Batch Report
After processing a batch, you are able to download a ‘Deposit Report’ which will display all the transactions and transaction details that were applied to cases via that specific Processed Batch.
