Add Inventory to the Contract

To add an inventoried item, go to Goods & Services.

Select the item to add to the contract.

On the contract, you will be able to see the item with a "Not taken from inventory" status.

Click on this  icon.

The Choose Inventory box will pop up. Select which item you would like added to the contract.

 

 

Note: If an item is already assigned to another case, you will not be able to select that item. Click on the link to see which case the item is assigned to!

 

Once you select an item, sign the case as usual.

Remove Inventory from a Contract

Once an item is signed to a contract, it can only be refunded from the Goods & Services page.

Click on this   icon.

The Choose Inventory box will pop up.

Select inventory to refund.

 

 

Re-sign the case to place the item back into inventory.

The item will be placed back into inventory with an On Hand status.

Statuses

Before we jump into Reporting & Accounting, let's review inventory statuses:

✅ On Hand - inventory that was added and will appear on the Inventory Management page.

✅ Assigned - inventory item that has been added to a case, but the case has not been signed.  These items will appear on the Inventory Management page.

✅ Sold - inventory item has been added to a case and the case has been signed.  These items will NOT appear on the Inventory Management page.

✅ Removed - inventory item has been removed via the Remove Inventory page and will not show up on the Inventory Management page.

✅ Pending - this status is for inventory items that have been transferred between organizations but have not yet been accepted.

Reporting

Reporting on Inventory will be done through System Reports by the following reports:

Inventory Activity - This report will show all the inventory activity as well as the changes in inventory totals within a reporting period.

 

Inventory Sold - This report will show the total count of inventory items that were signed to a contract and received a status of "Sold" – or any inventory items that were refunded and signed to a contract – during the reporting period.

 

Inventory Added - This report will show the total count of inventory items that were added to inventory during the reporting period.

 

Inventory Removed/Transferred - This report will show all items that received an inventory status of "Removed" during the reporting period.

 

Inventory On Hand - This report will show the total count of inventory that had a status of "On Hand," "Assigned," or "Pending" on the date the report was generated.
