Send Planning Center invites via text or email

Conveniently invite the family to the Planning Center via text, email, or both!

Send invites from Family & Friends page

First, you'll need to create the case.

Then, select Family & Friends under Decedent. 

On the Family & Friends page

✔️ Add First & Last Name

✔️ Select the Relationship to the decedent

✔️ Add Email Address

✔️ Add Mobile Phone

✔️ Check the box for Send Planning Center invite

✔️ Select the person's Planning Center role

✔️ Save

🤔 Not sure which Planning Center role to select? Click on What are Planning Center roles?  to see a chart breakdown of each role's access in the Planning Center.

 

Once you Save Family/Friend, the family member will receive a Planning Center invite.

✉️ It will be sent via email if you entered their email.

📱 It will be sent via text if you entered their cell phone number.

✉️📱 It will be sent via text and email if you entered both.

Edit Family/Friend

If you added a family member, but didn't invite them to the Planning Center, you can invite them by selecting their name on the Family & Friends page.

 

Make sure to have their email address or mobile phone.

Scroll down to check the box for Send Planning Center invite and select the Planning Center role.

Save!

💡 Pro tip: You can preview the email or text message you are about to send by clicking the gear icon next to Send Planning Center invite.

 

Send invites from the First Call page

You can also invite family from the First Call page, scroll down to Caller.

✔️ Select the Relationship to the decedent

✔️ Add First & Last Name

✔️ Add Email Address

✔️ Add Mobile Phone

✔️ Check the box for Send Collaboration invitation

✔️ Save

 

Send invites from the Planning Center page

On the Planning Center page, go to the Send invitation section.

To Create a recipient, enter their information.

✔️ First & Last Name

✔️ Email Address 

✔️ Relationship 

✔️ Create

 

From here, you can check which family member(s) you'd like to send an email invite to, then click Send Planning Center invite. 

You can also view the invitation status from this page.

Text invite settings

Text messages can be edited or set to automatically send once a family member is added.


To edit these settings, go to Admin > Organization > Planning Center > Templates.

Scroll down to Text Message Templates.


There are two text message templates: 

📱 Planning Center Text Message (for Imminent and At-Need)

📱 Planning Center Preneed Text Message (for Pre-need).

Select the template(s) you'd like to edit.

 

Customize text wording

To edit the text message wording, type in your text in the Customize Template section. For any names or details that change on a case basis, be sure to use the Tags available as a placeholder.

 

Automatic text messages

Automatic text messages will simply default the Planning Center invite button 'on' per family & friend role you assign.

For example: If you always want informants to receive a Planning Center invite, this setting will save you from having to remember to use the Planning Center invite checkbox!

To set this up, scroll down to Settings.

Select which roles you want to automatically receive text messages for each branch.

Save!

Now the Planning Center invite option will be checked automatically for entries set in the branch and role you configured in settings. (Don't worry, you can always uncheck it per case if needed!)
